1. Agree what makes someone a lead, qualified lead, opportunity and customer. Write the definition and owner of each transition.
2. Use lead status to describe outreach progress, such as attempted contact or connected. Keep deal stage on the deal, where it tracks the buying process.
3. Review a sample of real records with sales and marketing. Fix disagreements before automating stage changes.

**Example:** A customer asks about a second project: keep the relationship as Customer and create a new deal for the new opportunity.

**Watch out:** Do not turn every follow-up activity into a lifecycle stage. That makes funnel reporting harder to interpret.

### How do you prevent duplicate contacts and companies in HubSpot?

Use consistent identifiers before records enter HubSpot; merging records alone does not fix the process creating duplicates.

1. For contact imports, include email or a suitable unique identifier. For updates to existing records, include the correct Record ID.
2. For company imports, review domain values and identifier mapping. Company records created through the API are not automatically deduplicated by domain.
3. Test a small import, inspect the results and correct the source file before loading the full dataset.

**Example:** Before reimporting an event spreadsheet, match existing contacts and separate updates from genuinely new records.

**Watch out:** Rows without an identifier can create new records. Audit your imports and integrations as well as the duplicate queue.

### How do marketing and non-marketing contacts work in HubSpot?

Marketing status controls eligibility for certain marketing tools and counts towards the billable contact tier. It is separate from email consent.

1. Identify who you actually plan to market to. Review the defaults on forms, imports and connected tools so records enter with the intended status.
2. Review unsubscribed, bounced and inactive groups against your campaign requirements. Schedule appropriate existing contacts as non-marketing.
3. Check the effective update date and your account’s billing terms. Scheduling a status change does not mean an immediate tier reduction.

**Example:** A supplier contact you need for CRM administration may not need marketing status if you will not market to them through HubSpot.

**Watch out:** Non-marketing status takes effect on the next update date for existing contacts. Do not assume unsubscribing changes marketing status automatically.

**Example:** Use a static group for the people who attended one webinar; use an active group for subscribers who are currently eligible for your newsletter.

**Watch out:** HubSpot now calls lists “segments”. An old guide may use the earlier name; check the type and criteria rather than the label.

### Why is a record not enrolling in your HubSpot workflow?

Start with the record’s actual property values and enrolment criteria, then check history and re-enrolment rather than guessing.

2. Read the AND/OR logic carefully. Confirm exclusions, associated-record conditions and whether the record already completed the workflow.

**Example:** A contact matches the industry filter but has no company association; a company-based condition may explain the missing enrolment.

**Watch out:** Passing a simulation is not the same as confirming a live outcome. Verify the record history after the controlled test.

An effective audit connects CRM configuration to the work your team needs to do, then prioritises fixes by their operational impact.
