What does a HubSpot audit cover?

I’m looking for the gap between the portal you have and the portal you could have — including features, processes and use cases you may not realise are already available to you.

💷

Spend & subscriptions

Where your portal may be over-specced, underused or carrying avoidable cost. I’ll flag areas worth reviewing rather than blindly recommending more software.

🧩

Unused functionality

Tools you already have access to but aren’t using — with realistic use cases for your business, not a feature dump.

⚙️

Automation

Manual jobs, inconsistent handoffs and repetitive admin that could potentially become workflows, notifications, tasks or cleaner processes.

🧹

CRM & data health

Properties, duplicates, lifecycle stages, associations, naming, segmentation and the structural issues that quietly make HubSpot harder to use.

📈

Reporting

What you can actually see today, what leadership probably can’t see, and how your reporting could better answer real commercial questions.

👥

Adoption & usability

Friction that makes users avoid the CRM: cluttered records, unclear fields, poor views, weak process design, permissions and inconsistent usage.

🔁

Sales process

Pipeline stages, deal hygiene, lead management, follow-up, forecasting and opportunities to make the CRM support the way your team actually sells.

📣

Marketing setup

Segmentation, forms, lists, nurture, lifecycle logic, consent setup and opportunities to make your database more useful for targeted marketing.

🤝

Service & customer journey

Where relevant, I’ll look at tickets, onboarding, customer handoffs, renewals and ways HubSpot can connect the post-sale journey.

Find opportunities within your existing HubSpot access.

One of the most valuable parts of the audit: identifying capability sitting unused in your existing HubSpot setup and turning it into practical ideas.

Lead scoring / prioritisation
Could sales spend less time deciding who to contact first?
Sequences & task automation
Could repetitive prospect follow-up be more consistent?
Workflows
Could routing, internal alerts, lifecycle updates or handoffs happen automatically?
Playbooks / guided processes
Could reps have prompts and process guidance directly where they work?
Customer segmentation
Could your existing data power much more relevant targeting?
Dashboards & custom reporting
Are useful commercial answers buried in data you already collect?
Native HubSpot integrations
Could existing tools connect more cleanly without adding unnecessary manual work?
AI-enabled HubSpot features
Are there appropriate ways to reduce admin or speed up day-to-day work using capabilities available in your portal?

Where could you save money?

Optimisation isn’t automatically “buy more HubSpot”. Sometimes the best recommendation is to simplify.

If you’re paying for capability nobody uses, I want to find out why — and whether you actually need it.
Seats & access: flag potential mismatches between paid access, user roles and actual usage for you to review.
Overlapping tools: spot jobs being done elsewhere that your existing HubSpot subscription may already cover.
Operational waste: identify manual admin and duplicated processes costing the team time every week.
Complexity: find workflows, properties, lists, pipelines or reports that have multiplied without a clear purpose.
Licence fit: highlight functionality you use versus functionality you appear not to use, so you can make better-informed renewal conversations.

Review edition, seats and credits together.

The audit follows the processes you use across Smart CRM, Sales Hub, Marketing Hub, Service Hub, Content Hub, Data Hub and relevant AI tools. It does not assume you need separate implementation packages for each Hub.

Edition and contract fit

Compare your requirements with Starter, Professional or Enterprise access. Identify a likely fit for discussion, then confirm features, limits and commercial options with HubSpot.

People and access

For participating flexible-pricing accounts, review Core Seats and Professional or Enterprise Front Office Seats against roles and use. Front Office includes Core access; existing contracts can differ.

Credits and activity

Review relevant AI, email and workflow usage against the applicable rate sheet. Included flexible-pricing credits reset monthly without rollover. Check available controls and capacity options.

The £400 fee is for Hubflow’s audit service. HubSpot subscriptions, seats, credits, add-ons and any implementation are separate. Potential savings depend on your contract and operational needs. HubSpot flexible pricing supplement.

Your HubSpot audit deliverables.

A report you can use to decide what to fix now, next and later, with a walkthrough of the findings.

  • Executive summary — the state of your portal in plain English
  • Quick wins — useful improvements with relatively low effort
  • Priority fixes — issues affecting data, process, adoption or reporting
  • Unused-feature opportunities — what you have + how you could use it
  • Potential savings — areas of spend or duplication worth investigating
  • Automation opportunities — processes that could be streamlined
  • Data recommendations — structure, hygiene and segmentation improvements
  • Reporting gaps — missing measures, data dependencies and available reporting options
  • Adoption improvements — ways to make the portal easier for your team
  • Prioritised roadmap — what I’d do now, next and later

From audit to action.

Once I’ve reviewed the portal, we can use the findings to turn the report into something genuinely useful for your team.

HubSpot audit & optimisation FAQs

What is included in the £400 HubSpot audit?

The agreed audit includes a review of your account setup, data, workflows, reporting, adoption and relevant subscription observations, a prioritised optimisation report and a follow-up walkthrough. Confirm the account areas and review boundaries before booking.

What is the difference between free Quick Wins and the paid audit?

Quick Wins is a focused high-level review with three practical suggestions and a short written summary. It does not include a full account health check, detailed subscription analysis or a complete roadmap. The £400 audit provides a deeper agreed review, detailed report and walkthrough.

Is implementation included in the £400?

No. The fee covers the audit, findings, optimisation report and walkthrough. Workflow changes, data clean-up, migration, training and ongoing support are scoped and quoted separately.

Will you change anything in our account during the audit?

No material changes are made unless separately agreed. The audit inspects the setup and recommends improvements so you can decide what happens next.

Can you audit Starter, Professional or Enterprise accounts?

Yes. The review follows your actual subscription, accessible capabilities and business processes. It does not assume all features are available or that a higher edition is necessary.

Are cost savings guaranteed?

No. Findings can identify unused access, overlapping tools or inefficient processes, but contracts, renewal dates and operational needs determine whether spend can be reduced. Confirm software changes and pricing with HubSpot.

What access and information will you need?

We agree the access needed for the review, your goals, key processes and relevant subscription information before starting. Use an individual account with appropriate permissions rather than sharing passwords.

Can you help us implement the recommendations?

Yes. You can use the report with your own team or ask Hubflow to quote selected improvements, such as data clean-up, workflow optimisation, reporting, training and ongoing support.
